Work with Rusty to debug the process and perhaps create an instructional email message that accompanies the base file.

Directions to Wv HS contained in the emails and website were incorrect (reference N. Wilsonville instead of S. Wilsonville exit from I5
|
Correct this on the next announcement for January's TLI
|

Driving directions @ Wv HS - need signs that point the attendees to the south end of the HS; too many parked "in front" and found the walk to registration a bit of a strain.
|
Plan on extra signs outside the school that "directs" traffic to the south end of the school. Highlight that parking should be at the South end for all announcement emails and on the web site.
|

Registration desk too close to entrance - big bottleneck on entering the facility

Country store bottleneck - need more helpers

Get volunteers in advance of the TLI meeting

Do not use the library area as an Ed session location. too much noise from store/registraton area.

Walking distance to auditorium was far for those with handicaps.

Consider no opening session. meet only once. would save time and $.

Registration area
|
Need minimum of 2 tables, preferably 3. One table to have only paperwork to be filled out. 2nd table is place to put registrations once filled out. 3rd table can house the agenda and all other papers available to be picked up. The clipboards worked well. In future I recommend people standing with clipboards in their arms with the registration form attached and a pencil in hand. they can greet people as they approach the registration table and hand them what they need to register. it would provide a good "hospitality" touch. this would require more people working at the registration table.

Registration area was not well organized.

Person in charge must arrive early and be ready when people begin arriving. Same person needs to set up and tear down the registration table area.
|

Break times were short
|
Recommend a 15 minute break/travel time between sessions.
|

ED sessions of 20 minutes were rushed, in some cases
|
Consider changing Ed Sessions to 30 minutes
|

Lots of registration forms have no office checked; did they forget or are they D7 incoming

Staff was very easy to work with; WV HS is one of the most affordable large venue facilities in the area.
|
The further ahead we reserve, the more likely we will be in successfully booking the facility
|

Lots of flexibility with space, setup and Ed session locations.
|
Continue another TLI at this HS.

Custodian was not told that chairs were needed for the 'porches'. Custodian not told how to turn on auditorium sound.
|
Send reminder message to WLWV School District (cc: Wv HS Staff) 3 days before reminding them to ensure custodial staff is informed.
|
|
Facility fees were slightly higher than expected; received final invoice just hours before payment was due.
|
Ask for and receive invoice at least two weeks before event so we have time to review and make final changes if necessary.
|
|
The floor in the coffee/country store area was dirty and crawling with ants that were attrcted by the bits of food. Someone located a vacuum cleaner and cleaned up before we set up the refreshments.
|
Ask HS staff to make sure the area is clean before we get there.
|
|
Significant disconnect between staff custodian and personnel.
|
They need to improve their communication and do what they commit to doing.
|
